  • Previous PA experience (at least 5 years)
  • Financial industry experience preferred

Reports To

  • HR Business Partner
  • To ensure effective, efficient and appropriate support to the Executives in the Company, to ensure that their time is maximised and focused and to ensure that the needs of their internal and external clients are met.

  • Assist Executives in a range of administrative business tasks
    • Diary and mailbox management
      Responding to calls/emails while they are travelling
    • Arranging internal/external in-person and conference call meetings
    • Maintaining contact while out of office
    • Arranging travel plans – domestic & foreign
    • Planning complex travel itineraries, booking accommodation, transfers, arranging visas etc.
    • Finalising meeting agendas, attendees lists, logistics and materials
    • Overseeing resolution of urgent client and internal matters while they are traveling
    • Ensure administrative tasks are looked after, including but limited to:
      • Assisting with IT issues
      • Credit card and expense claim reconciliations
      • Maintaining CRM
      • Timesheets
  • Assist in a range of administrative business tasks
    • Scheduling and coordinating all Management, Shareholders, and Board of Directors meetings including managing diaries, booking locations and finalising support materials and agendas
    • Creating review packs prior to meetings
    • Minute taking at Directors meetings when required
    • Arranging internal/external in-person and conference call meetings
    • Maintaining contact while out of office
    • Arranging travel plans – domestic & foreign
    • Planning complex travel itineraries, booking accommodation, transfers, arranging visas etc.
    • Finalising meeting agendas, attendees lists, logistics and materials
    • Additional business support where needed
    • Maintaining CRM
